Systems / Event activation

A registration is a maybe. A phone call makes it a yes.

People registered weeks ago, and half of them will not turn up. Optiphone calls every registrant before the day, in your voice, and answers the practical questions that quietly turn into no-shows.

"Just calling to see if you had any questions about this Thursday's event? We're looking forward to seeing you!"

Wilsons Environmental Compliance ran their first ever in-person event, a free one. Comparable free events typically run between 40% and 60% attendance. After every registrant was called beforehand, it finished at 77%. Wilsons have given consent to be named on this result.

01 / What it does

Three things happen before your doors open.

It calls every registrant before the day, answers the practical questions that turn into no-shows, and passes real objections back to you while there is still time to act.

It calls every registrant before the day

Not an email nobody opens and not an SMS left on read. A phone call, to every person on your list, in the run-up to the event.

It answers the practical questions that quietly turn into no-shows

What time, where to park, what to bring, whether they can still bring a plus-one. The small unanswered question that quietly becomes a no-show gets answered on the spot.

It passes real objections back to you while there is still time to act

If a registrant raises a genuine reason they might not come, that gets flagged to you while the event is still days away, not discovered as an empty seat on the night.

02 / Timing and results

It runs in the days before your event, on purpose.

Not the morning after. The whole point is to still be able to do something about what it finds, so it works the list while there is time left to act.

A clear read on who is actually coming

Confirmed, at risk, or gone quiet. You know where your numbers really sit before you have to make a single catering or room-size decision.

Every call recorded and transcribed

Nothing depends on someone remembering what a registrant said. Every call is logged, so you can see exactly what was asked and answered.

Time to actually act on what it finds

It runs in the days before your event specifically so a flagged objection or a wavering registrant is still something you can do something about.

03 / What lands in your hands

A call log, not a guess.

“Excellent product, this is a life saver, especially in tax season - when we are too busy to answer every call.”

“Optiphone has absolutely changed the game for us. Managing calls was an absolute nightmare while being on the tools and often not even having the schedule on anything else. I used to have to run to the car to get it. We don't have emergencies often but getting that call every now and then helps our cashflow so much, I used to miss most of those.”

“Dylan has been nothing but Fantastic. Owning a business myself, I know the difficulties of staying on top of things, trying to be everywhere at once & slowly loosing my mind. Dylan fixes this & he fixes it well. Highly Recommend!”

04 / FAQ

Common questions, straight answers.

Yes. Optiphone uses natural Aussie voices, and the call is written around your event: your event name, your venue, your run sheet. It introduces itself honestly as calling on your behalf.

It gets passed straight back to you while there is still time to act on it. The agent does not try to argue someone into attending. It captures what was actually said and flags it.

We work from whatever you already have: an export from your registration platform, a spreadsheet, or a synced contact list. We will confirm the exact fields we need when we scope your event.

No. The 40% to 60% attendance baseline is specific to free events, which is why the Wilsons result is worth quoting. Paid or free, the same principle holds: a registration confirmed by phone is far harder to skip than one left to sit in an inbox.

A registrant can leave an email unread and a text unanswered without ever having to admit to anyone that they are probably not coming. A phone call, and someone actually saying yes out loud, is a different kind of commitment, and it is the reason this works when reminders alone do not.

Event activation covers the run-up: confirming attendance and surfacing objections before doors open. Following up with attendees afterwards for feedback and the next event is a separate conversation. Book a consultation and we can talk about covering both.
