How Optiphone Works With Outlook and Microsoft 365

How Optiphone connects to Outlook and Microsoft 365 so your AI receptionist books around your real availability. You choose which calendars sync and whether the AI books or just takes the details.

Step-by-step guide

  1. 1

Bookings that respect your real availability

Optiphone connects to your Outlook or Microsoft 365 calendar so the AI always knows when you are free. It reads your busy times and never offers a slot you are already booked for.

  2. 2

    Two-way, always up to date

When the AI books an appointment it writes it into your Outlook calendar as a normal event, and the times you block out in Outlook are respected by the AI. Everything stays in sync both ways.

  3. 3

    Map the calendars that matter

You pick which Outlook calendars connect and which Optiphone calendar each one maps to. You can map more than one, and your default calendar is clearly marked. Unticking a calendar removes its busy times again.

  4. 4

You decide whether the AI books

Booking is controlled per calendar. Leave it off and the AI takes the caller's details for your team to confirm. Switch it on and the AI books confirmed appointments for you.

  5. 5

    What you need to connect

Calendar booking is available on the Tradesman plan and above. Connect with secure sign-in from your Microsoft account, then choose which calendars to sync. No passwords are shared.
